36 Cary Parks, Recreation & Cultural Resources General Information Participant Information Packet For camps that meet 12 hours or more in one week A participant information packet must be submitted for each camper prior to the start date of the camp. Packets may be found at www.townofcary.org by typing "Summer Camp Forms" in the search field. If your camper becomes ill or injured during camp, the parent/ guardian or emergency contact person(s) will be notified. You should make necessary arrangements to have your child picked up. Be sure to note any medical concerns in the PARTICIPANT INFORMATION–MEDICAL INFORMATION por- tion of the packet. Please fill out Section 3 of this page if medi- cation needs to be administered during camp hours (including asthma medication). This section must be completed in its entirety and signed by parent/guardian before any medication will be dispensed. Medication will be secured in a locked box at all times. Camp counselors will carry medication to dispense as appropriate while on field trips. Dress Code Campers should dress accordingly for the activities scheduled. It is recommended that they wear shorts, a light weight shirt or top, and some type of athletic shoe or sneaker in order to participate in recreational or athletic activities each day. For pro- grams at the Cary Art Center, it is recommended to send camp- ers in old clothing. Certain camps may have additional clothing requirements. Sandals, flip-flops, rubber "crocs"-style shoes, and other open toed shoes are not recommended as acceptable attire for active recreation activities. If the camper is not properly attired, the parent/guardian will be notified to bring appropriate clothing or will be required to pick up the camper. Personal Belongings Due to the large number of campers, the Town of Cary and staff are not responsible for camper's personal belongings. Campers should not bring toys, cell phones, electronic devices, jewelry, or money (except for concessions). Please put camper's name on all articles of clothing, towels, lunchboxes, bags, etc. Sunscreen and Insect Repellent For camps with outdoor activities, it is recommended to apply sunscreen and/or bug spray prior to arriving at camp each day. Campers may bring sunscreen/bug spray to camp however they must be able to apply it themselves under adult supervision. Spray or mist sunscreen and/or insect repellent are recom- mended. Sunscreen/bug spray must be labeled with camper's name. Campers may not share these items with other campers. Behavior Management Camp Staff create a fun and safe environment for participants in the program. Praise and positive reinforcement are used as effective methods of behavior management. Camper behavior that does not respond to these methods or is destructive to others or property will be dealt with in a professional, positive, and timely manner to correct the behavior. The following pro- cedures will be followed for behavior management. All Incident Reports will be discussed privately with parents and a copy of each report will be kept on file in the camp office. 1. In the event that a camper's behavior is a repeated be- havior and cannot be corrected by the Camp Staff with a verbal warning or other form of behavior modification, a first Incident Report will be written to document and correct behavior. A copy of the report will be given to the parent the same day. 2. A second Incident Report will be written if the behavior is repeated or new behavior problems occur by the same camper. This report will follow the same process as the first, but a one or two-day suspension could accompany this report. A copy of the report will be given to the par- ent the same day. 3. A third Incident Report will be completed using the same process as the first two. The full-time staff and camp di- rector will write this report. The full-time staff of the camp will give this report to the parent. Incident reports will be discussed privately with parent by a camp director or su- pervisor. Dismissal from program can occur at this time. Immediate dismissal from the program can occur at any time given severe circumstances. Refunds for missed days due to a discipline dismissal may not be granted. Field Trips Cary Parks, Recreation, & Cultural Resources will transport campers offsite in vehicles provided by or contracted by the Town of Cary. If a camper arrives at camp after the scheduled departure for a field trip, it is the responsibility of the parent/ guardian to either: • Transport the camper to the field trip location and sign-in the participant with a Town of Cary camp staff member at the field trip site, or • Transport the camper to the camp site once the camp returns from the field trip location and sign-in. Campers cannot be left at a camp location without camp staff present. Refunds will not be given if a camper misses a field trip. If a parent/guardian needs to pick up a camper while on a field trip, it is the responsibility of the parent/guardian to pick up the camper at the field trip site. Please notify the facility where camp is housed at if picking up from a field trip site. You will be required to show either a pick-up card or photo id. Admission prices have been included in most registration fees, however some attractions have concession areas. Campers may bring additional money for concession areas, but each CAMPER IS RESPONSIBLE FOR HIS/HER OWN MONEY.
